Job Profile
ValueMentor’s Human Resource and Administrative Executive is responsible administration activities in the office and conduct tasks related to Human Resource. He/she will work closely with other employees at ValueMentor and report to Country Vice President & Global HR to support operations and HR management.


Administrative tasks
Be responsible for incoming and outgoing telephone calls and emails
Handle office expenses and petty cash of office under the approval of the finance department
Responsible for liaising with and visiting the banks/suppliers and any other companies/agencies as and when required
Manage office equipment and infrastructure
Responsible for the smooth operations of the office
Make logistic arrangement including flights reservations, hotel and vehicle arrangement for project staffs, visitors/partners, consultants, and interns
Conduct procurement of stationery for staff and meetings/workshops and assets in the office
Prepare correspondence, memos, reports, presentations, and emails to other offices or agencies in relation to the office operations
Carry out other duties such as translation works, take minutes of office meetings as requested by the supervisor
Update the filing system and manage filing of office documents for both hard and electronic copies.


Human Resource tasks
Recommend and execute annual staff development plan for the entire team
Recommend and execute policies, procedures, rules, regulations for employees in compliance with Labor Law in the companies different locations.
Develop, Review and update all human resources policies to meet the organization’s needs
Plan and facilitate HR activities in the team: contract, recruitment, onboarding, employee relation, insurance, exit formalities
Ensure to develop job descriptions for current/new positions
Maintain current organizational chart and current staff contact list
Assist the progress of job planning and performance management
Provide coaching and training to direct staffs on HR & Admin functions
Establish and maintain relations with government, labour union and other related personnel stakeholders
Monitor and record employee time sheets and leave requests
Support for procedures or papers relating to personnel or staffing issues
Conduct instruction for staff members about admin and HR procedures
Other related assignments.


Qualifications
Bachelors in administration, human resource management or other relevant disciplines
Fluency in English is essential (both oral and written)
At least 2 years of experience working as an HR and administrative officer
Interpersonal, time management, communication, and problem-solving skills required
Team player
Able to work under pressure and deadline
Be willing to occasionally travel for work
Computer skills - MS office, HRMS
